The standard student pay rate is $10.80 per hour. Prior to employment, all hiring departments must notify the Human Resources Office, an estimation or the actual number of students that will be employed, the hourly rate (if different than the standard student wage), and the cost center/internal order number to be charged. To ensure that the appropriate employment laws and university policies are adhered to, DO NOT allow students to begin working until the student’s enrollment status is verified, and all of the necessary paperwork completed. This includes the new hire Payroll form, the appropriate state withholding form, the W-4 (Federal Employee’s withholding allowance certificate), and the I-9 (Employment Eligibility Verification) form. Beginning September 1, 2009, students will be paid on a semi-monthly basis; however, timesheets must be submitted for hours worked. The cutoff dates for semi-monthly pay is six days prior to the pay date. Students are strongly advised to consider using the direct depost method to ensure receipt of funds. It will take approximately three weeks from the date your forms are submitted to the Human Resources Office to receive your first paycheck. Stipends/Fellowship/Internship Payments The department issuing a stipend/fellowship/internship must notify the Human Resources Office by memo or e-mail, the student receiving payment and the account to be charged. The student receiving payment must complete the student payroll information form, the I-9 form, and in the case of non-U.S. citizens, the FNIF form. The University does not withhold taxes on stipend/fellowship/internship payments for U.S. citizens, and it is not reported on form W2 or form 1099 for U.S. or resident aliens. Solely the Office of Student Financial Services determines eligibility for federal work-study. Payment Schedule All students must complete a timesheet, which must be signed by their hiring department. The SAIS weekly time sheet can be obtained here. Graduation Students who work at SAIS following completion of degree requirements or who are no longer registered full-time must be removed from the student payroll system.
